Zoom Integration
Automatically create Zoom meetings when invitees book appointments on your calendar.
Overview
The CalendarPA Zoom integration automatically creates unique Zoom meeting links for your bookings. When someone schedules an appointment with you, a Zoom meeting is created and the join link is included in the calendar invite and confirmation emails sent to both you and your invitee.
What you'll get:
- Automatic Zoom meeting creation for each booking
- Meeting links in calendar invites
- Meeting links in email confirmations
- Automatic meeting cancellation when bookings are cancelled
Connecting Your Zoom Account
- Go to Settings
Log in to CalendarPA and navigate to Settings from the sidebar.
- Open the Conferencing tab
Click on the "Conferencing" tab to view your video conferencing options.
- Click "Connect Zoom"
Find the Zoom section and click the Connect button.
- Authorize CalendarPA
You'll be redirected to Zoom to sign in and authorize CalendarPA to create meetings on your behalf.
- Done!
After authorization, you'll be redirected back to CalendarPA. Your Zoom account is now connected.
Using Zoom with Booking Types
Once your Zoom account is connected, you can enable Zoom meetings for any booking type:
- Create or edit a booking type
Go to Booking Types and create a new booking type or edit an existing one.
- Select the location
In the Location section, choose "Zoom" from the dropdown menu.
- Save your booking type
Click Save. All future bookings for this booking type will automatically include a Zoom meeting link.
What Happens When Someone Books
- An invitee selects a time slot on your booking page
- CalendarPA creates a Zoom meeting for that time
- The meeting link is added to your calendar event
- Both you and the invitee receive confirmation emails with the Zoom link
- If the meeting is cancelled, the Zoom meeting is automatically deleted
Disconnecting Zoom
You can disconnect your Zoom account at any time:
From CalendarPA:
- Go to Settings → Conferencing
- Click "Disconnect" next to your Zoom account
- Confirm the disconnection
From Zoom:
- Go to the Zoom App Marketplace
- Click on "Installed Apps"
- Find CalendarPA and click "Uninstall"
Note: After disconnecting, any booking types using Zoom will need to be updated with a different meeting location. Existing bookings will retain their Zoom links.
Data & Privacy
CalendarPA only accesses the minimum Zoom data necessary to create meetings:
- Your Zoom user ID and email (for identification)
- Permission to create and delete meetings on your behalf
We do not access your Zoom recordings, chat messages, meeting participants, or other account data.

Troubleshooting
Zoom option not appearing in location dropdown?
Make sure you've connected your Zoom account in Settings → Conferencing first.
Meeting link not included in confirmation?
Check that the booking type has Zoom selected as the location. If the issue persists, try disconnecting and reconnecting your Zoom account.
Authorization error when connecting?
Make sure you're signing into the correct Zoom account. If you have multiple Zoom accounts, sign out of Zoom first and then try connecting again.
